The "Out of the box" filename patterns avoids duplicates and should be used where possible.
To minimise duplicate messages being created:
• | Ensure the filename patterns are the same for all users |
• | Avoid using filer's name or initials |
• | If users are in different time zones consider using UTC time (via User preferences) to avoid local time differences |
• | Always use sent time rather than the received time in the filename pattern |
There are some genuine case were duplicates will be created and these are:
• | The subject is modified |
• | A comment is added |
• | Mark as reviewed applied |
There are two other cases where duplicates can occur i.e. When filing to Outlook folders and sometimes (the sender’s message may have a slightly different sent time (1 second) than those that received the message.
