Duplicate messages

The "Out of the box" filename patterns avoids duplicates and should be used where possible.

To minimise duplicate messages being created:

·    Ensure the filename patterns are the same for all users

·    Avoid using filer's name or initials

·    If users are in different time zones consider using UTC time (via User preferences) to avoid local time differences

·    Always use sent time rather than the received time in the filename pattern

There are some genuine case were duplicates will be created and these are:

·    The subject is modified

·    A comment is added

·    Mark as reviewed applied

There are two other cases where duplicates can occur i.e. When filing to Outlook folders and sometimes (the sender’s message may have a slightly different sent time (1 second) than those that received the message.
