The "Out of the box" filename patterns avoids duplicates and should be used where possible.

 

To minimise duplicate messages being created:

Ensure the filename patterns are the same for all users
Avoid using filer's name or initials
If users are in different time zones consider using UTC time (via User preferences) to avoid local time differences
Always use sent time rather than the received time in the filename pattern

 

There are some genuine case were duplicates will be created and these are:

The subject is modified
A comment is added
Mark as reviewed applied

 

There are two other cases where duplicates can occur i.e. When filing to Outlook folders and sometimes (the sender’s message may have a slightly different sent time (1 second) than those that received the message.
